Event crew shirts in 3 steps — from 25 pieces

An event crew covers everyone on site at an event for an agency or organiser: the build-up and break-down team, the stage crew, the catering crew, the hostess and promotion team, the security crew and the logistics team. Each sub-crew typically wears an identical crew shirt with the event logo plus a small role tag ("Stage Crew", "Catering", "Security"). We deliver the entire crew workflow in three steps — concept choice (volume vs. heritage vs. workhorse), logo plus role variant in the configurator, order with express or standard shipping.

Event types: trade show, festival, concert, promotion, sports event, conference

Six event types cover more than 90 % of our B2B event orders. Trade shows (Hannover Messe, IFA, Internorga) typically order 25 to 100 shirts per stand crew, festivals (Wacken, Hurricane, Lowlands) order 200 to 500+ shirts per event, concert tours order 50 to 150 shirts per tour stop (often as a recurring event series across multiple stops), promotion campaigns (hostess teams for brand promo) order 25 to 75 shirts per campaign, sports events (city run, triathlon, marathon) order 200 to 1,000+ shirts per event, and conferences order 50 to 150 crew shirts per event. Background on the crew-wear workflow in the trade-show and event crew-wear guide.

Volume workflow from 25 pieces with express shipping 3–5 working days

Minimum order is 25 shirts, the volume standard starts at 100 with tier jumps at 250 and 500 pieces. For a 500-shirt festival order with single-colour screen print we guarantee 3–5 working days EU lead time. For a last-minute order of 50 transfer-print shirts we can deliver 48 hours from order confirmation (premium surcharge, regional availability). The emergency hotline for event agencies is staffed Monday to Friday 9 to 18 CET.

Three event types, three crew concepts — the event stack

Each event concept has its own requirements for crew-shirt fabric, print run and premium feel. Our 3-concept stack maps the most common event profiles to the right crew shirt.

Concept 1 — volume event (festival, trade-show crew, sports event) 100–500+ shirts

Volume events are the high-quantity application: city-run crew of 500 helpers, festival crew of 300 stage/catering/security people, trade-show hostess team of 100 promotion staff. The right crew shirt is the Stedman Comfort-T 185 in a single event colour (typically black, navy or the event brand colour). Fabric: 100 % combed cotton, 185 gsm, soft and long-lasting. Sizes XS to 4XL, women's cut Comfort-T-W parallel. Finishing: single-colour screen print chest plus back — economical from 100 pieces, durable for 50+ washes in the festival wash zone. Pricing from €6.90 net at 250 pieces including single-colour chest-and-back print.

Concept 2 — heritage premium (conference sponsoring, VIP promo crew) 25–100 shirts

Heritage premium crews wear a premium-vintage t-shirt with stone-wash look and tailored cut — the look is "less promo shirt, more fashion piece". The right model: Mantis Heritage line with the Heritage Crew-T and Heritage Heavyweight-T. Fabric: 100 % organic cotton (180 gsm Crew-T, 240 gsm Heavyweight), stone-wash finishing. Sizes XS to 3XL unisex, women's cut separate. Finishing: soft-hand screen print with bio ink (not plastisol — flows into the fabric, soft hand-feel) for a vintage-look finish. Pricing from €18.90 net at 25 pieces including chest print. Typical use case: conference-sponsoring VIP crew, promo team lead, exclusive tech-conference mentor crew, tour managers.

Concept 3 — solid workhorse (stage crew, catering crew, build-up/break-down) 50–250 shirts

Workhorse crews need a robust, hard-wash-resistant crew shirt for the physical work of stage build-up, catering buffet or last-minute break-down. The right model: Fruit of the Loom Heavy Cotton t-shirt in an event colour. Fabric: 100 % cotton, 195 gsm, robust and machine-washable to 60 °C. Sizes S to 5XL unisex, women's cut Valueweight Lady. Finishing: screen print (for the role tag "Stage Crew" on the back) plus an additional chest print for the event logo. Pricing from €7.90 net at 100 pieces including single-colour chest print. Typical use case: stage build-up and break-down, backstage catering, logistics team, festival service crew.

    Brand recommendations per event concept

Five brands cover the three event concepts completely. All are OEKO-TEX Standard 100 certified.

Stedman Comfort-T 185 — the volume standard for festival and trade-show crew

Stedman is the European mass-market t-shirt brand with the broadest price-performance ratio in the volume segment. The Comfort-T 185 is the volume champion for festival, trade-show and sports-event crews. Fabric: 100 % combed cotton, 185 gsm. Sizes XS to 4XL, women's cut Comfort-T-W separate. Colours: 24 standard tones plus event brand colours at surcharge. Finishing: screen print (optimal from 100 pieces), transfer print (express), DTG for one-offs. Pricing from €4.90 net at 500 pieces including single-colour print. Important: the Comfort-T 185 is the volume variant, not to be confused with the heavier Comfort-T 220.

Mantis Heritage line — premium vintage look for VIP crews

Mantis is the British premium t-shirt brand with the Heritage line as the vintage-premium variant. Heritage Crew-T (180 gsm) and Heritage Heavyweight-T (240 gsm) — both with stone-wash look, organic cotton and tailored cut. Sizes XS to 3XL unisex, women's cut Heritage Lady separate. Colours: 14 vintage tones (Heritage Black, Heritage Navy, Stone Olive, Vintage Burgundy). Finishing: soft-hand screen print (no plastisol, flowing bio ink) for a vintage-look finish. Pricing from €12.90 net at 25 pieces including chest print.

Fruit of the Loom Heavy Cotton — robust workhorse for stage and catering

Fruit of the Loom is the UK brand with the Heavy Cotton t-shirt as the robust workhorse standard. Fabric: 100 % cotton, 195 gsm, robust and machine-washable. Sizes S to 5XL unisex, women's cut Valueweight Lady. Colours: 20 standard tones. Finishing: screen print, transfer print, DTG. Pricing from €5.90 net at 100 pieces including single-colour print. Typical use case: stage crew, catering crew, build-up/break-down team, festival service.

Result Spiro Performance — performance fabric for sports and running events

Result Workguard has the Spiro Performance line for sports and running events. The Spiro Sport t-shirt (100 % polyester, 145 gsm) offers sweat management for the helper crew at city runs, triathlons and marathons. Sizes XS to 3XL, women's cut separate. Colours: 16 performance tones with fluorescent accents. Finishing: transfer print (screen print on polyester limited). Pricing from €8.90 net at 100 pieces.

Beechfield caps and crew caps for visible branding

Beechfield caps complement the crew outfit with visible branding on the forehead — valuable for promotion crews that need to be recognisable from the festival audience. Beechfield Original 6-Panel for summer, Beechfield 5-Panel for promotion crews. Embroidery or transfer print on the front panel, 7 × 5 cm maximum. Pricing from €9.90 net at 50 pieces.

Printing methods — what works for crew shirts in volume?

The choice of print method drives per-shirt cost, durability and express capability. For volume orders from 100 pieces, screen print is the standard; for last-minute orders from 25 pieces, transfer print is the right choice.

Screen print for volume from 50 pieces (cheapest tier, highest durability)

Screen print is the most economical finishing from 100 pieces and the most durable choice for festival and outdoor crews. Mechanics: a screen frame with cut-out logo is filled with plastisol or bio ink, ink is pressed through the screen onto the shirt. Advantages: brilliant solid colours, very sharp edges, very long durability (50+ washes at 60 °C), lowest per-piece price at volume. Minimum quantity per print colour about 50 shirts, setup per colour one-off €25 net. For a 500-shirt festival crew screen print is the only economical choice.

Transfer print for express orders (3–5 working days delivery)

Transfer print is the right choice for last-minute express orders from 25 pieces. Mechanics: flex film or CMYK print is cut and heat-pressed onto the shirt. Advantages: no minimum quantity per print colour, fastest print workflow (setup from 5 minutes per logo), any number of colours or photo print possible. Durability: 30+ washes at 40 °C — matches typical event-crew wash frequency. Price per print position from €4.50 net. Last-minute 48-hour delivery is possible with transfer print (regional availability, contact emergency hotline).

Logo position on crew shirt: chest plus back plus sleeve

Standard logo corridor on a crew shirt: chest left 7 × 7 cm (event logo), upper back 25 × 8 cm (crew role tag like "Stage Crew" or "Catering"), right sleeve 4 × 4 cm (sponsor logo). A 3-position order raises the print setup cost — but remains economical from 100 shirts because the one-off setup cost is spread across the volume. Mockup PDF before production for sign-off by the event-logo owner.

Express shipping and last-minute workflow for event agencies

Event agencies operate in a world of non-shiftable deadlines — if the festival starts on Friday, the crew wear has to be there on Thursday, regardless of when the order came in. Our express workflow is optimised for that reality.

Express 3–5 working days EU for 100–500 shirts (single-colour screen print)

For a single-colour screen-print order of 100 to 500 shirts we guarantee 3 to 5 working days EU lead time — no surcharge. Requirement: logo sign-off on the order day, fabric colour available in stock. For an order on Monday morning with logo sign-off in the afternoon, delivery typically lands on Thursday or Friday. More on the express-shipping workflow on the shipping overview.

Last-minute 48 h — transfer print for up to 50 shirts (premium surcharge)

For absolute last-minute orders up to 50 shirts we offer 48-hour delivery — transfer print only, premium surcharge of €49 net per order. Requirement: order by 12:00, logo sign-off within the next two hours, regional availability (DACH delivery zone). The emergency hotline is staffed Mon–Fri 9–18 CET — an express request with escalation path is in the enquiry form.

On-site finishing optional at event locations (regional events)

For regional large events in DACH we offer on-site finishing on request: a mobile transfer-print stand is driven to the event site and produces the crew wear on the day. Useful for unexpected sub-crew expansions (e.g. when helper numbers on build-up day suddenly hit 30 instead of 20). Surcharge by distance and run, configurable on request.

Ordering workflow for event agencies and festival organisers

The workflow is optimised for the recurring event logic — agencies with annual festivals, tour managers with 30 tour stops, promo leads with 12 campaigns per year.

    Volume staircase from 25 pieces (tier jumps at 100 + 250 + 500)

The staircase has six tier jumps with the strongest breaks at 100 pieces (25 %) and 500 pieces (32 %):

Quantity Discount tier Example Stedman Comfort-T 185
    from 3 pcs T1 (3 %) €7.90
    from 20 pcs T2 (10 %) €7.10
    from 50 pcs T3 (15 %) €6.70
    from 100 pcs T4 (25 %) €5.90
    from 200 pcs T5 (30 %) €5.55
    from 500 pcs T6 (32 %) €5.40 — custom on request

Exact prices per model and print combination are shown by the volume-discount calculator.

Recurring events — template storage for annual festival, roadshow, tour

All personalisation data, logo files and print configurations are stored for 24 months in the account dashboard. For an annual festival with identical logo setup across multiple years, the next order runs in two clicks — copy template, adjust quantity, submit. For a tour with 30 stops, you can create a single template with multi-shipping to all 30 tour-stop addresses — very efficient for concert tour managers.

Consolidated invoicing across multiple sub-events (agency account)

Event agencies with multiple sub-events can set up an agency account that consolidates orders across multiple sub-events into a monthly statement. Invoice on account from €250 order value per sub-event without credit check, or from the first piece after a one-off credit check. Details on the payment overview.

Trust and compliance for the event industry

Event-industry buyers check three central compliance aspects before any crew-wear procurement: freedom from harmful substances per OEKO-TEX, organic-cotton optionality for sustainability-oriented festivals, and delivery photo proof before event day for logistics control.

OEKO-TEX Standard 100 (relevant in summer heat)

All recommended brands (Stedman, Mantis, FOTL, Result, Beechfield) carry OEKO-TEX Standard 100 certification. Especially for summer festivals at 30 °C-plus heat, where the crew wears the shirt directly on skin and sweats heavily, OEKO-TEX is a central purchasing criterion. Certificate numbers are supplied as a PDF material pass on request.

GOTS organic cotton optional (festival audience with sustainability expectation)

For sustainability-oriented festivals we offer GOTS organic cotton alternatives — Mantis Heritage and Stanley/Stella are both GOTS-certified. Surcharge by model around +15 to +25 % compared to conventional cotton. Organic certificate PDF on request.

Live tracking and delivery photo proof before event day

Every crew-wear delivery comes with DHL or GLS live tracking and a delivery photo proof by email after dispatch. For event agencies orchestrating multiple sub-events in parallel, the photo proof per event location is the safety anchor that every sub-crew received their wear.
